Camera Ready Submissions (all tracks) - 15th November 2023

Final Submission Requirements

In addition, all format issues must be corrected. Manuscripts not following the format required will be excluded from the conference proceedings.

Copyright Notice

The appropriate copyright notice is to appear at the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. The copyright notice should appear about 1 cm below the left column, and should be aligned to the left with the same left margin as the column.

The copyright notice to be added depends on the circumstances as follows:

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3503-6021-9/23/$31.00 ©2023 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3503-6021-9/23/$31.00 ©2023 European Union
  • For all other papers the copyright notice is: 979-8-3503-6021-9/23/$31.00 ©2023 IEEE

If you are preparing your paper in LaTeX and you are using the IEEEtran document class, this may help:

Add the following code before the \maketitle command:

\IEEEoverridecommandlockouts
\IEEEpubid{\makebox[\columnwidth]{ 979-8-3503-6021-9/23/\$31.00~\copyright2023 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }}

Add the following code after the \maketitle command:

\IEEEpubidadjcol

Make sure you use the appropriate IEEE copyright notice string, as outlined above.

Camera Ready Submissions

It is required that all PDF submissions be IEEE Xplore compliant. If your file does not meet IEEE Xplore compliance, it cannot be published and will be excluded from the AICS 2023 Proceedings and IEEE Xplore. To help you meet this requirement, you must first check to ensure that your PDF file is compliant by using the IEEE PDF eXpress system before you submit your final camera-ready version of pdf file. It is also the authors' responsibility to make sure that the paper has a similarity score of no greater than 15%.

IEEE PDF eXpress Instructions:
  1. Go to ieee-pdf-express.org
  2. Enter 60730X for the Conference ID along with your email address and password. If you do not have an account, please use the "Create Account" option.
  3. Continue to enter information as prompted. An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

You must use PDF eXpress to check your PDF file. Once you have a compliant PDF file, upload this file as your final submission on EasyCair. The camera-ready paper should be submitted to EasyChair by selecting "Update File" - this should be completed by 15th November at 23:59.

Full papers should be a maximum of 8 pages and Short papers should be a maximum of 4 pages. For full papers over 6 pages, there will be a charge of €90 per extra page up to a maximum of two extra pages (8 pages maximum).

Author Policies:
Please review IEEE's "Instructions for Authors of Papers to be Published in IEEE Xplore Digital Library".

The final version of papers that meet the eligibility requirements will be included in the proceedings published with IEEE Xplore.

Important Guidelines for Finalisation of your Manuscript:
Your name and paper title are entered in 'Title Case' NOT in 'UPPER CASE'. The names of all authors must be entered in the correct order when uploading the final version of your manuscript.

Each author should check their EasyChair account profile to ensure their personal data is accurate, up to date, and absent of spelling or other errors. What is reflected in this profile will be reflected in all subsequent platforms which share data with the Conference Paper Management System.

The corresponding author is responsible for ensuring that the document is viewable and absent of errors that would prevent its inclusion in the electronic proceedings.

Presentation Requirements

Full papers: A maximum of 10 minutes for presenting and up to 5 minutes for questions/discussion is allowed. Presentations should be prepared in Microsoft PowerPoint and sent to kevin.meehan@atu.ie by 30th November.

Short papers: These will be presented in a poster session. Posters should be in Portrait orientation and Size A0. Authors are expected to bring their poster to the conference and hand it over to the organisers during registration. For printing services, Browne Printers (Letterkenny) is suggested as the nearest to the ATU Donegal campus. Please ensure you allow adequate time for printing, as short papers not presented will be omitted from the final proceedings.
